We are looking for x2 Assistant Registrar (Projects) to join our Collections Registration Team at IWM Duxford. 

The purpose of this role is to deliver an effective programme of outgoing and incoming loans from Imperials War Museums in line with current policies, procedures, and guidance on legal and regulatory compliance.

You will be responsible for managing key elements of these loans accountably, guiding colleagues and external stakeholders to realise the Museum’s national and international loans, partnerships, and exhibitions.

Using your experience and professional judgement you will work with external stakeholders to commission services (such as external transport), and oversee insurance, indemnity requirements, loan agreements and contacts. Internally you will work with specialists to ensure appropriate conservation, display and environmental conditions and imaging are attained and maintained for accountability.

You will contribute your experience to the development of standards and projects by your Head of Department, and your peers.

The role is based at IWM Duxford. You will also be required to travel and/or work at all IWM sites and visit borrowers. On average, you should attend IWM Duxford for three days per week and travel out of London (to IWM sites/borrowers) for one further day each week.

You will focus at all times on delivering excellent customer service, ensure value for money at all times while being professional, courteous and demonstrating the behaviours and attributes expected of all IWM employees.  You will also adhere to all corporate standards, and use corporate systems as directed to ensure consistency of service, brand, and operational standards.

You will be expected to work across departments effectively, working with individuals, partners, and where appropriate volunteers.

You will be expected to comply with corporate standards, and use corporate systems, processes, and procedures– and undertake any necessary training as directed.

Your main duties with include:

  • The review of legacy loans in and out to establish their status.
  • Coordinating loan requests to support the Registrar (Projects) in making recommendations on the viability of loans to the Collections Development Committee.
  • Coordinating Government Indemnity applications and renewals.
  • Renewing loans in and out for exhibition or display.
  • Ensuring all Registration work complies with relevant policies, procedures, and best practice documenting all information from contracts/agreements, conditions for loans, condition and facilities reports, images, insurance/indemnity, packing, transportation, due diligence, and hazard management.
  • Advise peers on Registration activity in line with this post, for example, art law with respect to legacy issues, due diligence, immunity from seizure, and import and export.
  • Providing Registration support during installation and decant to remedy legacy issues.
  • You will proactively seek professional development with respect to collections management, to ensure you are continually improving.
