Collections Registration

The purpose of this job is to deliver an effective programme of outgoing and incoming loans from Imperial War Museums. You will be responsible for managing loans in and out accountably from start to finish, guiding colleagues and external stakeholders to realise the Museum’s national and international loans, partnerships, and exhibitions. Using your experience and professional judgement you will work with external stakeholders to commission services (such as external transport), and oversee insurance, indemnity requirements, loan agreements and contacts. Internally you will work with specialists to ensure appropriate conservation, display and environmental conditions

Duties will include:

  • Supporting the Head of Collections Registration by reporting the status of loans, profiling future activity, and budgets using the collections management system and financial reporting system; to ensure that the extent of exposure through indemnities is known and all liabilities and risk to the Museum in connection to loans are managed effectively and enhance the Museum’s national and international profile.
  • Preparing recommendations to Collections Development Committee with respect to loans.
  • Working with colleagues across IWM and peer organisations to develop, schedule, and deliver loans in and out; for example, but not limited to, working with exhibition and productions managers and technicians, curators, conservation, transport agents, project delivery, and visual resources staff. You will be sufficiently skilled to recommend appropriate models (for example the use of Government Indemnity Scheme/ insurance) and advocate for the needs of the loan items.
  • Ensuring that the conditions for loans are accurately captured and understood through written facilities data, and you will analyse the returns by peer organisations, resolving emergent issues in partnership with your co-workers.
  • Managing accurate loan administration within the collections management system. For example, contracts/agreements, condition reports and images, insurance/indemnity, and management data. Thereby ensuring that you manage timely loan renewal.
  • Ensuring the effective and efficient delivery of your team’s work programme (Assistant Registrar) and, through team meetings, the interfaces with the wider elements of collections registration.
  • Supporting the Head of Collections Registration in projects to enhance systems and processes to streamline tasks.
  • Representing IWM at internal and external events, providing expert advice, as required. On occasion this will include acting as a courier.
  • Proactively seeking professional development with respect to collections management, to ensure the team is continually improving
